Institute Room Booking System (IRBS): FAQ

FAQ 1. What is IRBS?

Ans. IRBS is a system for the entire institute to view occupancy details of various venues (mainly classrooms) and offers a facility to authorized users to book a venue.

FAQ 2. Which rooms are currently being handied by IRBS?

Ans. IRBS will currently display the following groups, which will in turn have a list of rooms shown under them.

Lecture hall complex

LC rooms (150 seaters)
LA & LH Halls (350 & 240 seaters)
LC rooms (150 seaters)
LT (60 seaters). Ground & first floor
LT (60 seaters). Second and Third floor
Institute Classrooms (IC) & ESE Class rooms

Mathematics department

Rooms declared by Maths department IRBS administrator

VMCC Auditorium & Seminar rooms

Rooms declared by PA Systems IRBS administrator

(Each department has an IRBS administrator. Most often IRBS administrator is an office staff from respective department)

IRBS will show the current occupancy and additional booking details of the rooms that are listed under the above groups (areas).

FAQ 3. I do not see my course listed in the expected venue which come under one of the groups mentioned above. Why is it so?

Ans. The IRBS system superimposes entire institute/ department time-table in its occupancy chart. Hence if a venue is not shown as blocked for some course, it is because that the time-table entry for that course has not been recorded against the expected venue.

Please contact Academic office at ttc.institute@iitb.ac.in giving details of the course and the correct venue that should be updated against it.

FAQ 4. Can I book a room in IRBS? [Question raised by a faculty/ office staff)

++ Automated approval workflow is triggered to obtain approval from individual department HoDs.

# Typically an office staff member in individual departments is designated as IRBS administrator.

Please see following exceptions when faculty members cannot book Institute venue. For Institute venues, contact academic office (ttc.institute@iitb.ac.in) if your booking request falls in one of the following:

if the booking request is made in less than 24 hours
if the booking request is for Holiday or Saturday/ Sunday
if the booking request is for Mid/ End Semester Exam

An automated email will be sent to you along with other members who manage the venues. This email will have a calendar entry which can be imported into google calendar.

FAQ 5. What is the minimum and maximum time period for booking?

Ans. An Institute venue has to be booked before 24 hours. Please note that you can book a venue at most 20 days in advance. A venue booking can be for maximum 3 hours and minimum 30 minutes. Such restrictions can be independently set by individual departments.

FAQ 6. Can a faculty/staff cancel the booking?

Ans. Yes.
